Managing Events

How to create, import, and manage events in Event Karma.

Creating Events

If you have Salesforce connected, import Campaigns as events:

  1. Go to SettingsIntegrationsSalesforce
  2. Click Import Campaigns
  3. Filter by date range or campaign type
  4. Select campaigns to import
  5. Click Import Selected

Imported events automatically sync with Salesforce Campaigns.

Option 2: Create Manually

  1. Go to Events
  2. Click New Event
  3. Fill in event details:
    • Name - Event title
    • Date - Event date
    • Type - Conference, Webinar, Dinner, etc.
    • Region - Geographic region
  4. Click Create
  5. Link to Salesforce Campaign (optional but recommended)

Event Details

Overview Tab

View and edit basic event information:

Metrics Tabs

Enter performance data for Success Score calculation:

  • Sales - Pipeline, opportunities, target accounts
  • Marketing - Registrations, attendance, targeting
  • Attendee - Survey responses, NPS, satisfaction

Check-in Tab

Configure and manage event check-in:

  • Setup Campaign (create Checked-In status)
  • View check-in stats
  • Generate UPL templates
  • Configure device setup QR codes

Success Score Tab

View calculated scores and recommendations:

  • Overall score (0-100)
  • Component breakdown (Sales/Marketing/Attendee)
  • Grade (A-F)
  • Recommendation (Run Again, Resize, Investigate, Pause)

Linking to Salesforce

To enable check-in and two-way sync, link events to Salesforce Campaigns:

  1. Go to event Overview tab
  2. Find Salesforce Campaign field
  3. Click Link Campaign
  4. Search for the Campaign by name or ID
  5. Select the correct Campaign
  6. Click Save

Once linked:

  • Check-in data syncs to Campaign Members
  • Opportunity data syncs from related Contacts
  • Success Score can be pushed to Campaign custom fields

Event Types

Event Karma supports various event formats:

Select the appropriate type when creating events - this helps with benchmarking and reporting.


Bulk Operations

Bulk Import

Import multiple events at once from Salesforce:

  1. SettingsIntegrationsSalesforce
  2. Import Campaigns
  3. Use filters to narrow results
  4. Check multiple campaigns
  5. Import Selected

Bulk Actions

From the Events list:

  1. Check multiple events
  2. Use the Actions dropdown:
    • Export to CSV
    • Archive events
    • Sync to Salesforce

Archiving Events

Old events can be archived to keep your dashboard clean:

  1. Go to Events
  2. Find the event to archive
  3. Click menu → Archive

Archived events:

  • Still accessible via filters
  • Retain all data and scores
  • Don't appear in active event list
  • Can be restored anytime

Event Folders

Organize events into folders:

  1. Go to Events
  2. Click New Folder
  3. Name the folder (e.g., "Q1 2024", "EMEA Events")
  4. Drag events into folders

Use folders to organize by:

  • Quarter/Year
  • Region
  • Event type
  • Team ownership

Permissions

Event access is controlled by team membership:

To change event ownership:

  1. Go to event Settings
  2. Change Team assignment
  3. Add/remove collaborators

Tips

Naming Convention

Use consistent naming for easy searching:

[Type] | [Event Name] | [City] | [YYYY-MM-DD]

Examples:

  • Conference | AWS Summit | London | 2024-03-15
  • Dinner | CIO Roundtable | NYC | 2024-04-22
  • Webinar | Security Best Practices | Virtual | 2024-05-01

Complete Your Data

For accurate Success Scores:

  • Enter all three metric categories (Sales, Marketing, Attendee)
  • Link to Salesforce for opportunity data
  • Collect post-event surveys

Regular Reviews

Schedule quarterly event reviews:

  • Compare scores across events
  • Identify top performers
  • Document learnings
  • Plan improvements
